Paper timesheets or a time clock app? A small-team checklist

Compare the work involved, not just the subscription price.

Paper can be simple—until it has to travel

A paper sheet may be easy to start, but someone still collects it, interprets it, handles corrections and enters totals. Consider that administrative effort alongside software costs.

An app still needs a process

Software does not resolve unclear break rules or identify every missing record by itself. Assign a review owner, agree on the pay-period cutoff and explain employee access before rollout.

Compare the complete handoff

Test the journey from the first punch to the actual payroll file. Check corrections, access controls, connectivity, export columns and the support process—not just the appearance of a dashboard.

Ask what happens if you leave

Find out how to export records, how account cancellation works and how retention is handled. Keep your own required records and a tested recovery plan.

Use a pilot instead of a guess

Try a small group using sample data next to the current process. Record the time spent reviewing and fixing records. Choose the approach that genuinely reduces confusion for your team.
