Make the process visible
Tell employees who receives a correction request and which facts to include: the date, actual start or end time, the missing action and a brief explanation. Make it possible to report work when a phone or connection fails.
Find the actual time
Compare the employee’s explanation with appropriate supporting records. A schedule can provide context but is not proof of the exact hours worked. Ask a clear follow-up rather than silently filling in an estimate.
Record the adjustment
An authorized reviewer should make the correction with a reason. Preserve the history and review the updated total. Give the employee a way to flag a remaining discrepancy before the payroll handoff.
Fix the recurring cause
A daily queue at a shared device, weak reception or an unclear break rule may be creating the same mistake repeatedly. Improve the workflow instead of relying on reminders alone.
Try the full correction loop
During a pilot, intentionally create a test missed punch. Confirm that an employee can report it, the manager can review it and the resulting record appears correctly in the export.
