Move from spreadsheet timesheets without disrupting payroll

A gradual move gives employees and the payroll reviewer a chance to find problems before the old process is removed.

Keep one existing file as the reference

Choose a normal sample period and preserve the spreadsheet used by your current process. Make a note of the columns that matter, including employee identifiers and how breaks are recorded. Do not upload sensitive payroll material into a general sales form.

Create individual accounts

A spreadsheet may have been edited by several people. The new time clock should distinguish the employee recording work from the manager reviewing it. Check the person-to-account mapping and show employees how to see their own entries.

Agree on the meanings before the buttons

Explain when to clock in, how the business records paid versus unpaid breaks and how to report an unsuccessful punch. Software labels are not a substitute for an employer’s policies or applicable pay rules. A phone without a connection still needs an alternate record.

Run a small parallel check

Begin with a few employees and sample shifts, including at least one correction. Compare each completed record with the established process, not just the combined total. A matching weekly number can hide two offsetting mistakes.

Review the exported CSV using your real payroll import requirements. A generic worked-hours export is not automatically a ready-made QuickBooks, Gusto or ADP integration.

Expand only after the complete handoff works

A rollout is more than a successful login. Confirm that an employee can record a shift, a manager can correct and approve it, and the responsible person can interpret the file. Assign someone to review questions during the first real periods.

Retain the records you need

Do not delete the old spreadsheets as part of a cosmetic software change. Keep records according to your obligations, and maintain independent recovery copies. Decide which system is the source of truth before employees begin relying on the new routine.
